Medical Assistant/Scribe

POSITION: Medical Assistant/Scribe

RESPONSIBLE TO: Office Manager

SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities

JOB SUMMARY: Prepares exam rooms and patients to be seen by the physician. Facilitates test results and paperwork as needed, such as disability forms, FMLA forms, school / work excuses, other medical records, etc. Assist physician with clinical duties as directed. Provide professional nursing care, under supervision.

EDUCATIONAL REQUIREMENTS:

High school degree required
MA certificate desirable
Training in Ear, Nose and Throat a plus
Typing Skills A Must-Test will be given

QUALIFICATIONS AND EXPERIENCE:

• At least one year of experience in clinical assisting
• Experience handling lab paperwork
• Comfortable using email and interacting with internet applications
• Knowledge of practice management and word processing applications
• Typing proficiency of 40 words per minute, with 98% accuracy
• Knowledge of medical terminology
• Ability to perform multiple and diverse tasks simultaneously
• Familiarity with scheduling and rearranging appointments
• Ability to work with patients and make them feel comfortable
• Pleasant speaking voice and demeanor
• Strong written and verbal communications
• Reliable and highly motivated
• Team player and able to avoid interpersonal conflict with other employees
• Able to handle constructive criticism and use it to improve job performance and patient care
• Neat, professional appearance

Responsibilities include, but are not limited to the following:

• Reviews patient file well in advance of scheduled appointment to ensure lab results, MRI/CT, audiology, and all other results have been received prior to patient arrival; calls facility if results have not been received
• Triage and perform intake for patients obtaining vitals, HPI, and chief complaint entering into practice management system.
• Communicates information received to provider prior to provider entering exam room
• Accompanies the physician into the exam room in order to transcribe a history and physical examination as given by the patient and physician
• Under the direction of the physician, transcribes patient orders, including laboratory tests, radiology tests, medications, etc.
• Send in or call in non-narcotic medications to pharmacy at the direction of the provider
• Perform prior authorization for medications using EMR, Covermymeds, or other methods as necessary
• Fax back approval or denials for Rx requests sent by pharmacies
• Answer nurse calls daily and ensure they are all returned by the end of the day
• Verifying the patients’ EMR for accuracy and ensure that documentation meets appropriate coding requirements.
• Documents any procedures performed and tests ordered by the physician on the medical record
• Prints and reviews consent forms for surgery and in-office procedures and reviews with patient
• Completes the patient’s chart by transcribing results of labs, x-rays, or other evaluations
• Lists all proper diagnoses as well as any follow up instructions and prescriptions, as directed by the physician
• Prepares exam and treatment rooms with necessary instruments for examinations and procedures
• Maintains supplies and equipment for treatments, including sterilization, care of fiberoptic scopes, autoclave maintenance, and changing of 28 day solution
• Replenishes supplies – stocks and cleans exam rooms
• Disposes of contaminated items according to OSHA guidelines
• Obtains and handles lab specimens according to CLIA guidelines
• Enters patient demographic information and prepares the required documentation to send with specimens
• Log specimens in courier pick up binder and ensures that lab samples are picked up by the reference lab daily
• Monitors logs of specimens collected and sent to the lab – ensures reports are returned
• Check the manage fax queue daily and direct test results to physician for review and treatment plan
• Schedules follow up appointments when necessary
• Review outgoing order tracking reports to ensure all orders are sent to the appropriate facility
• Obtains precertification or prior- authorization for ordered tests when necessary
• Performs patient education when appropriate, hand out brochures and directs patient to specific internet sites for more information
• Schedules follow-up appointments for patients seen in the office – provides an appointment card
• Takes medical stock inventory and communicates shortage to manager
• Ensures all clinical personnel are appropriately trained
• Arranges for biohazard waste pick-up
• Change debridement cups weekly (or sooner if required after procedures)
• Communicate with medical equipment and pharmaceutical reps
• Scan documents and properly place/label in patient’s chart
• Check email and tasks daily

Other Duties:
• Answers phone inquiries regarding medical records and performs other clerical functions within the office as designed by the manager
• Completes disability forms and other patient insurance forms within a reasonable timeframe; bills patient, insurance company, attorney, etc.
• Creates invoices, according to protocol for copying and release of medical records
• Maintains patient confidentiality; complies with HIPAA and compliance guidelines
• Maintains detailed knowledge of practice management and other computer software as it relates to job functions
• Obtains pre-certification or prior authorizations for in office procedures, i.e. Sleep studies, oral splints, tongue ablations, etc.
• Assists surgical coordinator with pre-certifications for tests ordered by physician
• Attends all regular staff meetings
• Any other duties as assigned

Typical Physical Demands
Position requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking for extended periods of time. Employee will occasionally be asked to lift and carry items weighing up to 20 pounds. Normal visual acuity and hearing are required. Employee will work under stressful conditions and work irregular hours. Employee will be exposed to bodily fluids on a regular basis.

Typical Working Condition
Employee will have frequent exposure to communicable diseases, toxic substances, medicinal preparations and other conditions common to a clinical environment. Company Description
