Job Description

Position Title: Clinical Office Manager

Reports To: Director of Operations

This document is intended to describe the general duties required for this position. It is not intended to serve as an exhaustive list of duties, skills, and responsibilities.

General Position Description:

The Clinic Manager occupies the center of the clinic's operations and serves as a vital mediator between the administrative and medical operations of the clinic. The Clinic Manager is a leading figure who guides the clinic's daily operations in seamless interdepartmental interactions.

Duties and Responsibilities:

  • Oversee clinic administrative and management operations.
  • Develop organizational strategies to meet the clinic's business goals.
  • Plan the staffing strategy and training/onboarding of personnel, including the credentialing of the medical providers.
  • Review and approve payroll and other incentives.
  • Manage and consider requests for new staff members or medical providers as needed.
  • Work closely with the Chief Medical Officer to effectively manage the clinics' medical operations.
  • Supervise medical staff, providing administrative, organizational, and logistics assistance.
  • Assign and designate patient load to providers and other particulars.
  • Performed quarterly or yearly QA's and employee feedback and review.
  • Supervise non-medical staff, designate tasks, assigning other necessary functions.
  • Manage inventory of medical supplies and restocking.
  • Manage facility maintenance and clinical equipment repair/supplies
  • Keep up to date with the latest statutory regulations for the clinics and providers.
  • Keep up to date with the latest industry standards for medical facilities.
  • Works closely with our Administrator and credentialing team
  • All other duties as needed.

Qualifications:

  • At least 2 years of experience as a Clinical Supervisor/Manager
  • Bachelor's in Healthcare Administration or equivalent education or experience, Healthcare Services Administration or another relevant degree or Certification
  • Familiar with California regulatory provisions for medical facilities.
  • Familiarity with EHR/EMR software is highly preferred (eClinical Works).
  • Strong understanding of the ethics of confidentiality
  • Having a customer service background is highly desirable
  • FQHC compliance knowledge preferred
  • Current Medical Assistant certification

Knowledge:

Medical (clinic) procedures and practices; basic physiology, anatomy and psychology; basic patient registration, records and charting procedures; unlicensed assistive practices; medical terminology; medical supplies; basic computer and modern office automation technology and computer software programs (eClinical Works) relevant to department operations; basic public relations.

Physical/Mental Requirements:

Mobility – Frequent operation of a data entry device; constant standing and walking; frequent sitting, pushing/pulling and bending/squatting; occasional moderate to heavy equipment operation; running; climbing stairs;

Lifting – Constant lifting of 30 lbs. or less; frequent lifting of 30 to 70 lbs.; occasional lifting of 70 lbs. or more; occasional restraining, lifting/turning of heavy objects or people;

Vision – Constant reading and other close up work; constant need for color perception, hand/eye coordination, depth perception and use of peripheral vision;

Dexterity – Constant holding, reaching, grasping, writing and need for repetitive motion;

Hearing/Talking – Constant need to hear normal speech and faint sounds; constant talking on the telephone and in person; occasionally speaking over public address system;

Emotional/Psychological – Constant exposure to trauma, grief and death; constant public contact, decision making and concentration required;

Special Requirements: May require working nights, weekends, and overtime;

Environmental – Occasional exposure to hazardous materials; frequent exposure to noise
